1. Who we are
AccraDocs is operated by West Merch, LLC, a California limited liability company doing business as AccraDocs (“AccraDocs,” “we,” “us”). These Terms are an agreement between us and you, or the firm you represent (“you”).
You accept these Terms by creating an account or by using the service. If you are agreeing on behalf of a firm, you represent that you are authorized to bind it.
2. What AccraDocs does
You upload documents. AccraDocs reads each one, extracts a small set of fields — vendor, date, amount, document number and document type — splits multi‑document files where it detects boundaries, generates a clean filename for each document, and returns your renamed files along with an optional transactions CSV.
AccraDocs is an aid to your work, not a system of record and not a substitute for your professional judgment. It shows you what it extracted and flags the fields it is unsure about so that you can review and correct them before you download. You are responsible for reviewing the output before you rely on it — for filing, for your books, or for anything else.
AccraDocs is deliberately a transformation tool, not a document repository. We do not store your documents, and there is no history to go back to. See our Privacy & Data Handling page.
3. Your account
- Accounts are personal. Keep your password confidential and do not share your login.
- You are responsible for activity that happens under your account.
- You must verify your email address before your free pages become available.
- Multi-factor authentication is available on your account, and we recommend you enable it — you are handling other people’s financial documents.
- Tell us promptly at security@accradocs.com if you believe your account has been accessed without your permission.
4. Acceptable use
You represent that you have the right to upload the files you submit, including documents belonging to your clients. You agree not to:
- upload unlawful content, or content you are not permitted to share with a service provider;
- attempt to reverse-engineer, copy or extract the service’s models, prompts, schemas, detection logic or filename logic;
- resell or provide the service to third parties except as we expressly permit;
- interfere with the service, attempt to bypass its usage limits, or use it in a way that degrades it for others.
5. Pages — the unit we bill in
AccraDocs meters usage in pages, and we count them in a way you can predict:
- A page is one page of an uploaded document. An uploaded photo counts as one page.
- Pages are counted before any processing begins, from the file itself. Nothing is estimated after the fact.
- Pages are used when a batch is processed, not when it is downloaded. If a batch is deleted under the retention window in Section 8 before you have downloaded it, the pages it used are not returned.
- If a batch needs more pages than your balance covers, it is refused whole and nothing in it is processed or charged. You will be shown exactly how many pages the batch needs and how many you have.
- Files we cannot read — an unsupported file type, an empty file, or one over the per-file size limit — count as zero pages and are never charged.
6. Plans, billing and renewal
- Free pages. New accounts receive a one-time allowance of free pages. It does not renew.
- Monthly plans include a page allowance that resets each billing period. Unused monthly pages do not roll over.
- Add-on page packs are a one-time purchase. Pack pages never expire and are used only after your plan’s monthly allowance is spent.
- The season pass is a one-time purchase granting a pooled page allowance for a fixed term. It does not renew, and any unused season pages expire at the end of the term. Pack pages you own are unaffected.
- Renewal and cancellation. Monthly plans renew automatically until you cancel. You can cancel at any time; cancellation takes effect at the end of the period you have already paid for, and you keep access until then. The season pass and page packs never auto-renew.
- Payment. All prices are in US dollars (USD). Billing is handled by Stripe. We never receive or store your full card number. Prices exclude any taxes we are required to collect.
- Fair-use limits. We apply daily volume limits as an anti-abuse measure. They sit well above normal use and are not a second billing meter.
7. Refunds
If AccraDocs isn’t right for you, email hello@accradocs.com within 14 days of a charge and we will refund it.
Refunds are handled by a person, not automatically, and we will confirm by email. Where a refund covers pages you have already used, we may adjust or remove the remaining balance on your account.
8. Your documents and your data
We process your uploads solely to provide the service, on your instructions. We do not store your documents or the fields we extract from them, and we do not use them to train AI models. The full detail — what we process, who our subprocessors are, and what we do keep — is on the Privacy & Data Handling page, which forms part of these Terms.
Retention window. Each batch you upload is held only while you work on it and is automatically and permanently deleted one hour after you last download it, or 24 hours after upload, whichever comes first. The review screen shows this window once you have downloaded. You are responsible for downloading your files within that window. Once a batch has been deleted it cannot be recovered, by you or by us.

9. Intellectual property
AccraDocs and everything underlying it — the extraction engine, prompts, schemas, detection and validation logic, filename generation, and the interface — are our property. You get a limited, revocable, non-exclusive right to use the service. You keep your own documents and the files we return to you; we claim no ownership of them.
10. Disclaimer — no accuracy guarantee
The service is provided “as is” and “as available,” without warranties of any kind, express or implied, including any implied warranties of merchantability, fitness for a particular purpose, or non-infringement.
We do not guarantee that extracted fields or generated filenames are correct. Reading documents is inherently uncertain. AccraDocs is designed to surface that uncertainty — it flags fields it is not confident about, and leaves a field blank and flagged rather than inventing a value. That is a review mechanism, not a guarantee. You must verify the output before relying on it.
We do not warrant that the service will be uninterrupted or error-free.
11. Limitation of liability
To the maximum extent permitted by law, neither party is liable for indirect, incidental, special, consequential or punitive damages, or for lost profits, lost revenue, or lost or corrupted data.
Our total liability arising out of or relating to these Terms or the service will not exceed the amount you paid us in the twelve months before the event giving rise to the claim.
Some jurisdictions do not allow certain limitations, so parts of this section may not apply to you.
12. Indemnification
You will defend and indemnify us against third-party claims arising from your unlawful use of the service, or from your not having the rights necessary to upload the files you submitted.
13. Term and termination
These Terms apply for as long as you use the service. You may stop and close your account at any time. We may suspend or terminate access if you materially breach these Terms, or if we are required to by law.
On termination your access ends. Because we do not store your documents, there is nothing for us to return or delete beyond your account record. Sections 9 through 12 survive.
14. Changes to the service or these terms
We may change the service, and we may update these Terms. If we make a material change, we will give notice by email to your account address or in the app before it takes effect. Continued use after that means you accept the updated Terms. If you do not accept them, you may cancel.
15. Governing law
These Terms are governed by the laws of the State of California, without regard to its conflict-of-laws rules.
